Privacy Policy

Last updated: October 26, 2026

1. Scope and Who We Are

This Privacy Policy explains how MATTIE DAVIS INVESTMENT, HOLDING LLC, a Georgia limited liability company doing business as "Stage Runners" ("Stage Runners," "we," "us," or "our"), collects, uses, discloses, and protects personal information when you use our websites, the Stage Runners application, customer support, and related services (collectively, the "Service").

This policy applies to business customers and users nationwide, website visitors, people who communicate with us, and individuals whose information a business customer places in the Service. It does not apply to third-party websites or services that have their own privacy notices.

Our role depends on the information

Information Stage Runners controls: we generally decide how and why we use account, billing, website, security, support, and business-development information. For this information, Stage Runners acts as the business or controller, as those terms are used in applicable privacy laws.

Customer data processed for a staging business: a business customer may upload or create information about its clients, prospects, team members, contractors, vendors, projects, properties, inventory, proposals, contracts, and communications. The business customer generally determines why that information is used, and Stage Runners processes it to provide the Service. Requests concerning this data may need to be directed to the relevant business customer, which is responsible for having the authority to provide it to us, giving any required notices, and configuring access appropriately.

2. Information We Collect

We collect information in three ways: when you or your organization provide it, automatically when the Service is used, and from third parties or integrations you choose to use.

Account and business information

  • Name, business email address, telephone number, job title, company name, business address, website, and profile information.
  • Authentication and account-access information, such as account identifiers, login events, roles, permissions, and security settings.
  • Subscription, plan, billing status, invoices, and limited payment records. Full payment-card details are handled by our payment processor rather than stored by Stage Runners.

Client, project, and property information

  • Client and prospect names, contact details, company information, notes, and communication history.
  • Property addresses, project dates, service details, rooms, access notes, scheduling information, and project status.
  • Proposals, contracts, approvals, declines, signatures, pricing, terms, and related records.

Inventory and operations information

  • Inventory names, descriptions, categories, quantities, serial or QR identifiers, photographs, dimensions, values, availability, reservations, and locations.
  • Movement and custody records, including pull, load, transfer, install, pickup, return, receive, inspect, repair, and availability events.
  • Condition reports, incidents, severity, notes, photographs, inspection outcomes, and resolution history.

Team and communications information

  • Team-member, contractor, and vendor names, contact information, roles, schedules, assignments, invitations, and activity history.
  • Support requests, emails, proposal and contract messages, template content, feedback, and other communications sent through or about the Service.
  • Files and media you upload, including inventory images, documents, and attachments.

Optional AI and voice interactions

If you use the "Ask your Stage Runner" AI assistant, it may access workspace data you or other authorized users have entered -- inventory, projects, and related business data -- only as needed to answer your questions. Access to financial information is controlled by a customer-facing toggle: the business owner chooses whether the assistant may access it, off by default.

The assistant's access is read-only. It can answer questions, but it does not create, edit, or delete customer data. When a requested task would require more than read-only use, the Service directs you to the relevant screen instead of carrying out that action through the AI. We process the prompt, voice input, response, and permitted workspace context using our AI and voice service providers to operate these features. Do not submit information you are not authorized to use.

Device, camera, and technical information

  • Camera access when you choose to scan a QR or barcode or upload a photograph; microphone access when you choose a voice feature.
  • IP address, browser type, device type, operating system, pages or features used, timestamps, and security events.
  • Approximate location inferred from an IP address. A future feature that requires precise device location will request permission before collecting it.

3. Where Information Comes From

We receive information from you, your organization, other authorized users in your workspace, and the devices used to access the Service. We may also receive information from authentication and payment providers; connected services you choose to authorize, such as accounting tools; public and licensed sources used for property/listing-status verification; and business customers that invite you to a workspace or enter information about clients, workers, contractors, vendors, projects, or properties.

4. How We Use Information

We use personal information only for legitimate business and operational purposes, including to: create, authenticate, administer, and secure accounts and workspaces; provide inventory, QR scanning, reservations, custody history, inspection, project, scheduling, proposal, contract, communication, and reporting features; process Stage Runners subscription payments and maintain billing records; provide support and respond to requests; operate the optional AI and voice features; monitor performance and improve the Service; detect and prevent fraud, misuse, and security incidents; and comply with law and protect rights and safety. We do not sell your personal information.

5. When Information Is Disclosed

We disclose personal information only as needed to operate the Service, follow your direction, meet legal obligations, or protect rights and safety. Service providers process information for us under contractual safeguards appropriate to their role. Current providers:

6. Cookies and Sign-In Sessions

Stage Runners does not currently use cookies, pixels, or analytics/tracking technology. The one cookie-like mechanism in use today is a sign-in session set by our authentication provider (Clerk) to keep you signed in -- nothing beyond that. We do not sell personal information, and we do not use personal information for targeted advertising. If that changes -- for example, to add analytics to measure site performance -- this policy will be updated first to disclose exactly what is in use.

7. How Long We Keep Information

We keep personal information for as long as reasonably necessary for the purpose it was collected for. As a general guide:

  • Account and workspace content is retained while the account is active, and for 90 days after an account closes or cancels, before deletion.
  • Billing, transaction, and tax records are retained for 7 years.
  • Security and access logs are retained for 1 year.
  • Backup copies are retained on a rolling basis for up to 90 days until overwritten.

We may retain information longer when required by law, subject to a legal hold, or needed to resolve a dispute or prevent fraud.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including access controls, authentication, and encryption in transit. No method of storage or transmission is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your login credentials and notifying us promptly if you suspect unauthorized access.

9. Your Rights and Choices

Depending on where you live, you may have the right to access, correct, or request deletion of your personal information, or to object to certain processing. To request this, or to ask what information we hold about you, contact us at the email below. If your request concerns information controlled by a Stage Runners business customer, we may need to direct your request to that business.

10. Minors

The Service is designed for businesses and authorized business users, not children. We do not knowingly collect personal information from children under 13.

11. Changes to This Policy

We may update this Privacy Policy to reflect changes in the Service, technology, law, or our practices. We will post the revised policy with a new "Last Updated" date, and provide additional notice when a change is material.

12. Governing Law

This Privacy Policy is governed by applicable United States federal law and the laws of the State of Georgia, without limiting privacy rights that cannot lawfully be waived under the law that applies to you.
